1 About thesis evaluation

There are a preliminary evaluation and final evaluation.

Evaluation flow (Graduating in March)
[Late-October] Deadline to apply for preliminary evaluation (The applicant applies to the Graduate Student Affairs Section.)

[Early-November] Preliminary evaluation meeting (by Department of Astronomical Science committee)

Preliminary commitment from examiners to participate in the final evaluation committee (collected by sponsoring teacher).
If a staff member who belongs to another department in the School of Physical Sciences would like to be a member of the evaluation committee, he or she can be an examiner if he or she gets approval from the Department of Astronomical Science committee.

[Early-January] Deadline to apply for final evaluation (The applicant applies to the Graduate Student Affairs Section.)

[From late-January to early-February] Final evaluation meeting

Evaluation report (The sponsoring teacher or the chief examiner reports to the Graduate Student Affairs Section.)

[Early-February] Deliberation by Department of Astronomical Science committee

[Late-February] Deliberation by faculty members of the School of Physical Sciences of SOKENDAI

[Late-March] Commencement ceremony

[Within 1 month after the Commencement ceremony]
Submit final manuscript of evaluation summary
(The sponsoring teacher or the chief examiner submits it to the Educational Affairs Section at the Headquarters of SOKENDAI.)
Submit final manuscript of thesis abstract
(The applicant submits it to the Educational Affairs Section at the Headquarters of SOKENDAI.)

[Within 3 months after the Commencement ceremony]
Procedures to publish the doctoral thesis on the Internet
(The applicant applies to the Educational Affairs Section at the Headquarters of SOKENDAI.)

(2) Doctor thesis presentation for preliminary evaluation Graduating in September: Mid-June

* Must be written in English.

* Can be written in Japanese.

4 Final evaluation schedule

(1) Application period Graduating in September: From mid- to late-June
Graduating in March: From mid-December to early-January
(2)Doctoral thesis defense Graduating in September: From late-July to August
Graduating in March: From late-January to early-February

5 Documents for final evaluation application

(1) Doctoral thesis evaluation application form (Form 1, in word file) 1 copy
(2) Doctoral thesis
* Must be written in English.
* The first letter of every word in the title should be capitalized, except for articles, prepositions, and conjunctions, which should be in lowercase.

(3) Doctoral thesis table of contents (Form 2 in word file) 7 copies
(4) Abstract of doctoral thesis (Form 3 in word file)
* Can be written in Japanese.

(5) Curriculum vitae (Form 4 in word file) 7 copies
(6) Related references such as papers 7 copies
(7) Certificate of graduation or academic transcript from the applicant’s last school
 * Schools that the student dropped out of are not considered as a last school.

(9) Evaluation fee (Postal money order, do not fill in the "Designated payee" field.) 57,000 Yen

6 Submit final manuscript of evaluation summary and thesis abstract (Within one month after the commencement ceremony)

(1)Evaluation summary The Chair of the final evaluation committee makes an evaluation summary.
When there are no changes to the previous “evaluation report” by the final evaluation committee, please contact the Graduate Student Affairs Section (daigakuin[at]nao.ac.jp).
(2)Thesis abstract The author of the thesis prepares the thesis abstract.
From 2,000 characters to 3,000 characters in Japanese, or from 700 words to 2,000 words in English.
When there are no changes to the previous “Abstract of doctoral thesis (Form 3)” submitted for final evaluation, please contact the Graduate Student Affairs Section (daigakuin[at]nao.ac.jp).

7 Doctoral thesis publication on the internet

Since FY 2013, SOKENDAI has decided to release doctoral theses online.
For details, please contact the Educational Affairs Section at the Academic and Student Affairs Division at SOKENDAI (kyomu1[at]ml.soken.ac.jp).
* When you send an email, please convert “[at]” in the email address to the one-byte “@” character.

8 Others

Please obtain approval of the application documents for preliminary evaluation and final evaluation from the student’s supervisor.
In principle, the size of each document should be A4 portrait.
